1. About these terms
Amarine One (“Amarine”, “we”, “us”), formerly Amarine Transport Systems, is a trading name of Amarine Trans Ltd, registered in England and Wales under number 10622582, registered office 104 Barclay Street, Leicester, England, LE3 0JB. You can contact us at support@amarineone.co.uk.
These terms are an agreement between us and the business that signs up (“you”). By creating an account, or by using the platform after your free month, you accept them on behalf of that business, and you confirm you are allowed to. Amarine is for businesses, not for consumers.
Your drivers, staff and garages use the platform through your account. You are responsible for their use of it, and for making sure they are allowed to. A garage that uses the workshop plan on its own is “you” for its own account.
Our Data Processing Agreement is part of these terms. A company accepts both, as they are written on this site, when it registers.
2. Plans and prices
| Plan | Price | What is included |
|---|---|---|
| Transport operators | £25 a month, plus £1 a month for each vehicle | Everything: the office portal, the driver app for every driver, the AI assistant, training, invoicing, and the workshop portal for your garages. Office users and drivers are unlimited. |
| Workshops | £20 a month | The workshop portal for a garage’s own customers: inspection sheets, bookings and invoices. |
| Garages invited by an operator | Free | The workshop portal for the vehicles that operator gives them. |
How vehicles are counted. The vehicle charge is worked out from the vehicles active on your account on the day each monthly invoice is raised. Trailers are included up to the number of lorries on your account; each trailer beyond that number is £1 a month as well.
All prices exclude VAT, which is added at the current rate. A transport manager who works for several companies needs a plan for each company; one sign-in covers all of them.
Fair use. The price covers what a company of your size normally uses. Office users and drivers stay unlimited. These are included each month, and grow with your fleet:
| What | Transport operators, each month | Workshops, each month |
|---|---|---|
| Emails sent from the platform: invoices, inspection sheets, reminders and messages | 200, plus 20 for each vehicle | 300 |
| Documents read by the AI: uploaded, photographed or emailed in | 100, plus 20 for each vehicle | 100 |
| Questions to the AI assistant | 300, plus 50 for each vehicle | 300 |
| Storage for documents, photographs and PDFs | 5 GB, plus 1 GB for each vehicle | 10 GB |
With 5 lorries, for example, that is 300 emails, 200 documents read, 550 questions and 10 GB a month. If you go over, we will tell you first and talk to you about it. If it carries on, we may ask you to move to a plan that fits it, or agree a price for the extra with you. We never charge for anything you have not agreed to in advance. Sending bulk or marketing email through the platform is not allowed on any plan.
When prices change. Our prices follow what the platform costs us to run: hosting, the database, the AI that reads documents and answers questions, and email. If those costs rise, or prices rise generally, we may raise our prices and adjust the fair-use amounts to match. We will tell you by email at least 30 days before, and you can cancel before the new price applies (section 11).
3. The free first month
Every new account starts with its first month free, on both plans. If you cancel before the free month ends, you pay nothing. If you carry on, your first paid month starts the day after the free month ends.
4. Paying
Plans are paid monthly in advance, by bank transfer. We send an invoice for each month, with our bank details on it. If an invoice is not paid on time, we will tell you and give you at least 14 days to put it right before we limit the account to reading and exporting.
5. Cancelling
You can cancel at any time. There is no minimum term and no cancellation fee. Tell us by email at support@amarineone.co.uk, or from your account where the option is there.
The plan stays open until the end of the month you have paid for, and nothing more is charged after that. We do not refund part months.
For 30 days after your plan ends, you can ask us for a copy of your records. After that we delete them within 90 days, except for anything the law requires us to keep. Remember that you may have to keep some records yourself for longer, for example DVSA expects maintenance and inspection records to be kept for at least 15 months. Take your copy before the 30 days are up.
6. Your data
Everything you and your people put on the platform stays yours. You give us permission to store it and use it only to provide the platform to you, to support you, and to keep the service secure. We do not sell it, and we do not use it to advertise.
We may use anonymous figures about how the platform is used, which cannot identify you or any person, to run and improve it.
A driver’s own wallet is different. Documents a driver keeps in their personal wallet are theirs, and they choose which companies see them. Ending a driver’s work with you does not give you their wallet, and does not take away the copies you already hold for your own records.
Our Privacy notice explains how personal data is handled.
7. Data processing
For personal data you keep on the platform, you are the controller and we are your processor. These terms, together with our Data Processing Agreement, are the contract that UK data protection law requires between us. The agreement gives the detail, and where the two differ about personal data, the agreement wins. We will:
- process it only on your documented instructions, which are these terms and the way you use the platform, unless the law requires otherwise, in which case we will tell you unless the law forbids it;
- make sure everyone who can see it is bound to keep it confidential;
- keep it secure, with the measures described in our Privacy notice;
- use only the service providers listed in the Data Processing Agreement, each under a written contract with the same protections, and tell you before we add or replace one, so that you can object;
- help you answer requests from people exercising their rights, and help you meet your duties on security, breaches and impact assessments;
- tell you without undue delay after we become aware of a breach affecting your data;
- delete or return your data when the service ends, as set out in section 5;
- give you the information you reasonably need to show that these duties are met, and allow reasonable audits for that purpose.
The data is about your drivers, staff, garages’ staff and customers: identity, contact, licence and entitlement, right to work, work and training records, incidents, and payment details. It is processed for as long as your account is open, to provide the platform.
You are responsible for having a lawful basis for the data you put on the platform, and for telling your drivers and staff how it is used.
8. Using the platform properly
You agree not to:
- use the platform for anything unlawful, or to store content you have no right to;
- share sign-ins between people: each person has their own;
- try to get into another company’s records, or into parts of the platform you have not been given;
- copy, reverse engineer or resell the platform, or put it under unreasonable load.
9. What stays your responsibility
Your operator licence is yours, and so are your legal duties as a transport operator. Amarine is a tool that helps you keep your records in order. It does not take over those duties. In particular:
- you remain responsible for meeting the conditions of your operator’s licence, and for your vehicles, drivers and maintenance;
- you should check the information you rely on. Due dates and reminders are only as good as the records entered;
- the AI assistant and document reading suggest and prefill; a person on your side decides, and nothing is done until they confirm it;
- a low bridge answer, a walkaround or a reminder never replaces the driver’s and the operator’s own care;
- the rules, lessons, safety content and the AI assistant are guidance, not legal advice, and do not replace your transport manager’s judgement.
10. Availability and support
We work to keep Amarine available at all times, but we cannot promise it will never be interrupted. We will try to carry out planned work outside working hours and to warn you in advance. Support is by email at support@amarineone.co.uk, during UK working hours.
11. Changes
We improve the platform all the time, and features may change. We will not remove something central to your plan without telling you first.
We will give you at least 30 days’ notice by email of a price increase or of a change to these terms that affects you. If you do not agree, you can cancel before it takes effect.
When these terms or the Data Processing Agreement change, you are asked to accept the new version in the platform. Until you do, the version you accepted still applies to you.
12. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited.
Otherwise, neither side is liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss. We are not liable for fines, penalties or regulatory action taken against you, including by DVSA or a Traffic Commissioner, as meeting those duties remains yours.
We provide the platform with reasonable care and skill. Beyond that, and as far as the law allows, it is provided as it is, and we do not promise it will be free of every error.
Our total liability to you in any 12 months is limited to the greater of what you paid us in those 12 months and £1,000.
You will cover us for claims that arise from data you put on the platform without the right to, or from use of the platform that breaks section 8.
Nothing here limits your obligations or ours under data protection law, affects the powers of the Information Commissioner, or affects any right a person has under Article 82 of the UK GDPR.
13. When we can suspend or end the service
We can suspend or end your account if you seriously break these terms and do not put it right within 14 days of us telling you, if a payment is still unpaid after the notice in section 4, or straight away if it is needed to stop unlawful use or protect the platform or other customers. If we end the service for any other reason, we will give you at least 60 days’ notice and refund anything paid in advance for the time after it ends.
14. General
Each side keeps the other’s confidential information confidential. We own the platform and everything in it except your data. If you send us suggestions, we may use them without owing you anything for them.
Neither side may pass this agreement to somebody else without the other’s agreement, except that we may pass it to a company that takes over our business. Nobody else has rights under these terms. If a part of these terms turns out to be unenforceable, the rest still applies. Not enforcing something straight away does not mean giving up the right to.
These terms and the Data Processing Agreement are the whole agreement about the platform between us. If we have both signed a separate written agreement, that wins on what it covers.
These terms are governed by the law of England and Wales, and the courts of England and Wales decide any dispute.
